Emails and recipients
Each run sends one email per schedule to everyone on its list. Recipients don't need a monday.com account.
What's in the email
- The schedule's name and the date of the copy.
- On Starter and above, a short since last time summary.
- The file as an attachment, or a download link for large files.
- A one-click unsubscribe link.
On the Free plan the email also carries a "Sent with Oceanblok Snapshots" line.
The change summary
Snapshots compares this run with the previous copy of the same schedule and lists, in plain words:
- New items that weren't there last time,
- Removed items,
- Status changes, from which label to which, in the column you chose under Track changes in,
- Overdue items: past the date in your due date column and not on a label you marked as done.
Long lists are shortened to the first 20 entries, with a count of the rest. The first run of a schedule has nothing to compare with, so it says so instead.
Large files
Files up to 8 MB are attached. Larger files are replaced by a download link that works for 7 days. After that, the copy is still in the board's History tab for anyone allowed to see it.
Account admins can turn emailed links off in Settings → Large files. Large files are then only available inside monday.com, and the email says where to find them.
Who can be added
Any email address, including people outside your company. On the Business plan, admins can limit recipients to allowed domains, such as your own and your clients'. See Roles and admin controls.
Unsubscribing, bounces and spam reports
Every email has an unsubscribe link at the bottom, and supports the one-click unsubscribe button that Gmail and Outlook show. Unsubscribing stops that one schedule from emailing that person. Other schedules aren't affected.
Addresses are also taken off a schedule automatically when:
- the email bounces because the address doesn't exist, or
- the person marks the email as spam.
In every case the schedule's owner is told, and the address shows in the schedule's Send to list with the reason, so nobody is removed silently. A removed address can't be added back by the sender. The recipient can contact the schedule's owner if they want to receive it again.
Failed sends
If a run fails, for example because monday.com is briefly unavailable, Snapshots tries again with growing pauses between tries. A retry only sends to the people who didn't get the email yet, so nobody receives it twice. If the last try also fails, the schedule's owner gets an email explaining what went wrong.
