Schedules

A schedule is one recurring export: which part of the board, when, in which format and to whom.

What goes in the file

  • Columns: pick the ones you want, in the order you want. The item name is always first.
  • Groups: choose specific groups, or leave it empty for the whole board.
  • Include subitems: adds each item's subitems as rows under it.
  • Format: Excel (.xlsx) with a frozen header row, readable column widths and each group as a shaded heading, or CSV with a Group column for other tools.

Cells come out as people read them on the board: names instead of user IDs, status labels instead of colours, and dates as dates.

When it runs

FrequencyYou choosePlans
DailyA timeStarter, Team, Business
WeeklyA weekday and a timeAll plans
MonthlyA day of the month and a timeAll plans
  • Time zones: the time is on the clock of the time zone you pick, so "Monday 08:00 in Tallinn" stays 08:00 when the clocks change.
  • Days 29 to 31: in shorter months, a monthly schedule runs on the last day of the month.
  • Clocks jumping forward: if the chosen time doesn't exist that day (for example 03:30 on the spring change), the run moves to an hour later.
  • Run now sends one extra run straight away. You can use it once every 5 minutes per schedule.

Whose access a schedule uses

A schedule reads the board with the access of its owner, the person who created it. It never quietly switches to someone else's access. If the owner leaves the account or loses access to the board, the schedule pauses and account admins are told. See Roles and admin controls.

Pausing and resuming

Click Pause to stop a schedule without losing anything, and Resume to start it again. Snapshots also pauses a schedule on its own when:

  • its owner loses access to the board or leaves the account,
  • your plan changes and you have more schedules than the new plan allows (the newest extra schedules pause, none are deleted),
  • it fails several runs in a row,
  • every recipient has unsubscribed, so nobody is left to send to.

A paused schedule shows Paused in the list. Its history is kept as normal.

Deleting a schedule

When you delete a schedule, its past copies stay in History until your plan's history period runs out, because they're often needed as records. To remove them straight away, tick Also delete its history now in the delete dialog.
