Filters and ready-made reports

Send only the items a reader cares about, and get a first schedule running in a minute.

Ready-made reports

When a board has no schedules yet, the Schedules tab offers six reports to start from, plus Start from scratch:

  • Weekly client report: every Monday at 08:00, all columns, with what changed and what is overdue.
  • Overdue items: every Monday at 08:00, items whose date has passed and that are not done.
  • Due this week: every Monday at 08:00, items due in the next 7 days.
  • Done last week: every Monday at 08:00, items marked done.
  • Monthly finance export: on the 1st of each month at 08:00, every column as a CSV file.
  • Audit archive: every night at 23:00, including weekends, a dated Excel copy to keep.

Picking one opens the normal schedule form already filled in, with your own email as the first recipient. The main button is Save and send me a test: it saves the schedule and emails a test to you only. A plain Create button is still there. If the test can't be sent, the schedule is still saved and the message says so.

Templates only use what your board has: its first status column, its first date column and status labels called Done, Complete, Completed or Approved. If the board has none of these, that part is left out. Nothing is made up, and you can change everything before saving.

On the Free plan a template always opens and can always be saved. The audit archive becomes weekly on Monday, the change summary is dropped and only the first filter is kept. A note above the form says what was changed.

Filters

In a schedule, Only include items where… lets you add rows. Each row is a column (or the item name), a condition and a value. An item is included only if it matches every row. With no rows, every item is included.

Column typeConditions
Status, dropdown, peopleIs, is not, is empty, is not empty. Status columns show their labels as tick boxes.
DateDue in the next N days, in the last N days, is empty, is not empty
Text, numbers and other columnsContains, is empty, is not empty
Item nameContains
  • Plans: Free allows one filter per schedule. Starter and above allow up to 20.
  • Text matching ignores capital letters.
  • "Is not" keeps items whose cell is empty.
  • Dates use the schedule's time zone. "Due in the next 14 days" means today up to today plus 14. "In the last 7 days" means today and the 6 days before it. An item with no date is in neither.
  • Subitems are kept when their parent item is kept. They aren't tested on their own.
  • The file still shows only the columns you chose, even if a filter uses another column.

When no item matches

The schedule still sends. The file has only its header row, the email says "No items match this schedule's filters today.", and the run counts as sent. Nothing is paused. Because the change summary compares with the last sent copy, items that stopped matching show up as removed.

Filters and history

The email, the file, the change summary and the copy kept in History are all the filtered board, so a copy is exactly what was sent.
